# Write a job description: scoring guide

Turn your notes on a role into a job description where every requirement ties to a duty, must-haves and nice-to-haves are kept apart, and wording that could put off qualified people is flagged and fixed.

## How to use it

1. Run the template on your own material, or take an answer you already have.
2. For each criterion below, read the answer against the two lines and tick one: meets or does not meet. Quote what you saw.
3. A criterion marked "checked by you" is yours to mark. An AI cannot meet it for you.
4. Count the ticks for meets, out of 11. Fix the first criterion that is not met and run the guide again.

## The guide

### 1. Every duty is quoted word for word from the notes

A plain rule you can check by eye.

- Meets: Every duty in the table is found word for word in the notes.
- Does not meet: A duty has been reworded, merged with another, or is not in the notes.
- Your mark: [ ] Meets [ ] Does not meet
- What you saw:

### 2. Every requirement is quoted word for word from your list

- Meets: Every requirement in the table is found word for word in your list.
- Does not meet: A requirement has been reworded or added that is not in your list.
- Your mark: [ ] Meets [ ] Does not meet
- What you saw:

### 3. No number appears that your notes and list do not have

A plain rule you can check by eye.

- Meets: Every number in the draft is also in your notes or your list.
- Does not meet: The draft has a number your notes and list do not have, such as an invented pay figure or years of experience.
- Your mark: [ ] Meets [ ] Does not meet
- What you saw:

### 4. Each concern is one of the eight allowed words

A plain rule you can check by eye.

- Meets: Every row has exactly one of the eight allowed words in the Concern column.
- Does not meet: A row has another word, or the Concern cell is empty.
- Your mark: [ ] Meets [ ] Does not meet
- What you saw:

### 5. The reminder to check it with your HR or legal team is in the final text

A plain rule you can check by eye.

- Meets: The final text includes the line Check this draft with your HR or legal team before you post it.
- Does not meet: The line is missing, or it has been replaced by a claim that the posting is legally safe.
- Your mark: [ ] Meets [ ] Does not meet
- What you saw:

### 6. Each must-have is tied to a duty

Checked by a second AI prompt.

- Meets: Each must-have names a real duty and the reason shows the duty cannot be done without it.
- Does not meet: A must-have names no duty, or its reason is only that the job is better with it.
- Your mark: [ ] Meets [ ] Does not meet
- What you saw:

### 7. Every level is one of the three allowed words

A plain rule you can check by eye.

- Meets: Every row has must-have, nice-to-have or not tied to a duty in the Level column.
- Does not meet: A row has another word, or the Level cell is empty.
- Your mark: [ ] Meets [ ] Does not meet
- What you saw:

### 8. No requirement that is not tied to a duty appears in the final text

Checked by a second AI prompt.

- Meets: No requirement marked not tied to a duty appears in the final job description.
- Does not meet: A requirement with no duty behind it was written into the posting, in the same words or in other words.
- Your mark: [ ] Meets [ ] Does not meet
- What you saw:

### 9. Must-haves and nice-to-haves are in separate lists

Checked by a second AI prompt.

- Meets: Every must-have is under What you need and every nice-to-have is under Nice to have.
- Does not meet: A requirement is in the wrong list, or is missing.
- Your mark: [ ] Meets [ ] Does not meet
- What you saw:

### 10. No flagged wording is left in the final text

Checked by a second AI prompt.

- Meets: No flagged phrase is left in the final text, and nothing else in it points to age, gender, family, health or background.
- Does not meet: A flagged phrase is still there, or the text has other wording that points to a protected group.
- Your mark: [ ] Meets [ ] Does not meet
- What you saw:

### 11. A person who knows the job and the rules reads it before it is posted

Checked by you.

- Meets: A person who knows the job read the posting, asked whether each must-have is needed on day one, and had your HR or legal team look at it.
- Does not meet: The posting goes out unread, or without a look from someone who knows the rules where you hire.
- Your mark: [ ] Meets [ ] Does not meet
- What you saw:
