A complaint response letter is a written reply to someone who has told you something went wrong. It acknowledges the problem, says what you found out, and tells them what happens next.
You write one after a customer, client, resident or member raises a formal complaint. You may also need one when a short reply by phone is not enough and a record is wanted.
The reader is upset, or at least unhappy. They want to know three things: were they heard, what happened, and what will change. They are not interested in your internal process. They may also share the letter with a manager, a regulator or the press, so every sentence needs to be true and plain.
- Thanks and Acknowledgment. Name the complaint and the date they raised it.
- What You Found. A plain account of what happened, using only confirmed facts.
- What You Got Right and Wrong. Say where you fell short, if you did, without hiding behind passive wording. Check your complaints policy first.
- What You Will Do. The fix, the refund, the change, whichever applies.
- The Date or Timeline. When they can expect it.
- Anything You Cannot Do. Say so and give the reason in one sentence.
- A Contact. One named role or phone line for follow-up.
- How to Escalate. If they are not satisfied, where do they go next?
- Gather the Facts. Collect what the complaint said and what your records show.
- Separate Fact from Opinion. Keep only what you can confirm.
- Decide the Outcome. Know what you will offer before you write.
- Open with the Acknowledgment. One or two sentences, no defensiveness.
- Write the Account. Short paragraphs, plain words, dates and amounts exactly as recorded.
- State the Remedy and the Date.
- Close with the Contact and the Next Step.
- Read It as the Complainant. Would you feel heard?

Dear Ms. Alvarez,
Thank you for writing on March 3 about the delayed repair to your back fence. I am sorry the fence stayed broken for three weeks.
We checked our records. Your repair request was logged on February 10. The part was ordered on February 14 and arrived on March 1. The repair was finished on March 4. We should have told you about the delay on February 14, and we did not.
We will refund the 40 dollar service call fee. The refund will reach your account within 10 business days. We are also changing our process so that anyone waiting for a part receives a message within two days.
If you would like to talk, please call the customer care line at the number on your invoice and mention this letter. If you are not satisfied with this reply, you can ask for a review by the service manager.
Sincerely,
Customer Care Team
- Starting with Policy. Quoting the rules before acknowledging the person feels cold.
- Adding Facts You Have Not Checked. One wrong date can undo the whole letter.
- Vague Promises. "We will look into it" says nothing. Give a date.
- Blaming the Customer. Even if they share fault, the letter should state facts, not accusations.
- Using Internal Language. Ticket codes and department names mean nothing to the reader.
The closest Logic Lab template is "Rewrite for a Different Reader." You paste in your internal notes on what happened, and tell the template who will read the letter and what they need. It lists the facts that must not change, works out what this reader needs, writes the new version, and then compares each fact against it.
Its checks work in plain words. Every fact it lists must be quoted word for word from your notes. No number may be added or changed. Each fact is marked kept, changed or missing, and anything that changed is put back. Finally, you check that the letter starts with what the reader needs and avoids words they do not know.
The template runs in your own AI tool. Logic Lab runs no AI and does not see what you paste. Take out names, addresses and account numbers before you paste, unless your policy allows them in an AI tool. A person should always read and approve a complaint response before it is sent. Check your own complaints policy first. If the matter could lead to a legal claim, get advice before you admit fault or promise money. This page is a drafting aid, not legal advice. Add the remedy and the named contact yourself where the notes do not give them.
What is a complaint response letter?
It is a written reply to someone who has raised a problem. It acknowledges the issue, states what you found, and says what happens next.
How do you start a response to a complaint?
Thank the person, say you understand the problem in one sentence, and name the thing they complained about. Skip long apologies and get to the facts.
How long should a complaint response be?
One page is usually enough. Say what happened, what you will do and by when.
Can AI help write a complaint response?
Yes, if the facts are checked afterward. The Logic Lab template rewrites internal notes for the complainant and checks that no fact was added or lost.
