When Not to Use a Workflow
A workflow adds steps, checks and cost, and it earns them only when a job needs them. Some jobs are better as one prompt, some belong to a person, and some should stay out of an AI tool altogether. Knowing which is part of building well.
Five Signs a Workflow Is the Wrong Tool
- 1The job is small and happens onceOne short prompt, read by you, is faster than building steps. Build a workflow for a job you will run again, or one that is too long or too important for a single pass.
- 2Only a person can make the callWhom to promote, how to answer a complaint, who is right in a dispute. A workflow can set out the facts and the options. The decision stays with a person.
- 3The material must stay privateIf you should not paste it into an AI tool, no workflow makes it safe to. Strip the names and details first, and have a person check what is left, or keep the job out of the AI.
- 4The answer must be exactAdding up a budget, counting rows, converting units. A spreadsheet or a calculator gets it right every time. An AI step can get it wrong and sound sure.
- 5You cannot say what good looks likeA check needs a fail you can write down. If you cannot say what a bad result is, do the job by hand once and note what you looked for. Those notes become the checks.
