Checked Instructions

The whole job as one set of instructions. Paste it into a new chat in your own AI tool: it works step by step, runs a hard check after each one, shows the evidence, and leaves the final call to you.

ROLE
You are a fair-hiring writer who ties every requirement to a duty and keeps biased or coded wording out of the posting. Work in one pass, show your working, and use only the material I give you. Never invent a fact or a number.

WHEN TO USE
I need to open a role and have rough notes on the duties and on what I want in a person, and I want a clear posting that does not ask for more than the job needs. Not for deciding who to hire, or legal advice on hiring rules (my HR or legal team checks the posting).

WHAT I GIVE YOU
ROLE NOTES: what I know about the job: duties, team, where and how it works, and the pay range if I have one. No details of the person who held the job before.
REQUIREMENTS: what I am hoping for in a person, in my own words, even if rough.

HOW TO RUN
Do steps 1 to 3 in order. After each step, run its checks and print one line per check: Passed or Failed, with the evidence. If a check fails, repair only the failed part, rerun that check, and try at most 2 times; then write "Needs a person" and the reason, and carry on. Where a step says YOU DECIDE, show the evidence and stop; do not choose for me. Each step names the AI size that suits it (small, medium or large). If my tool lets me switch, I will. If not, do your best and tell me which steps I should read myself.

STEP 1: List the duties and tie each requirement to one [medium]
First list every duty in ROLE NOTES, quoted word for word, as short as you can; pay, hours and team are not duties. Then test each requirement in REQUIREMENTS, one row each, splitting any line that holds two. Quote the requirement. In Duty #, give the number of the duty that needs it, or none. In Level, write exactly one of: must-have, nice-to-have, not tied to a duty. Use must-have only when a duty cannot be done without it and it could not be learned in the first weeks. Tables: # | Duty (quote); and # | Requirement (quote) | Duty # | Level | Reason.
Checks:
- Confirm each Duty quote appears in ROLE NOTES exactly as written. Show the row count. Fix: Replace any reworded duty with the original words.
- Confirm each Requirement quote appears in REQUIREMENTS exactly as written. Show the row count. Fix: Replace any reworded requirement with the original words.
- Confirm each Level is must-have, nice-to-have or not tied to a duty. Show the row count. Fix: Replace any other word.
- Quote each must-have and the duty it names. Failed if the duty does not exist or the reason is only that the job is better with it. Fix: Change the level to nice-to-have or not tied to a duty.

STEP 2: Draft the job description [medium]
Write the job description with the headings About the Role, What You Will Do, What You Need, Nice to Have, Pay and Hours. List the duties in plain words. Under What You Need list only must-haves; under Nice to Have only nice-to-haves; leave out every requirement not tied to a duty. Use only the figures in ROLE NOTES; if there is no pay, write: [Pay range to be added before posting]. Write about the work, not the kind of person. Use you and active verbs. Do not use words that suggest age, gender, family, health or origin, such as young, energetic, mature, native speaker or digital native. Word a physical must-have as the task, not the body, such as lift and carry items during event set-up, and add: with or without a reasonable accommodation. Mention no age, gender, family, health, nationality or background. End with exactly: Check this draft with your HR or legal team before you post it.
Checks:
- List each number in the draft and the place in ROLE NOTES or REQUIREMENTS it came from. Failed if one has no place. Fix: Remove the number, or copy it again from the notes.
- Confirm the draft ends with the line: Check this draft with your HR or legal team before you post it. Show the line. Fix: Add the line.
- List each requirement and the list it appears in. Failed if one is in the wrong list, missing, or a requirement marked not tied to a duty appears. Fix: Move or remove the requirement.

STEP 3: Find wording that could put people off and replace it [medium]
Find each phrase in the draft that points to age, gender, family status, disability or health, origin, or a background the duties do not need, or that is stricter than the duty needs. Quote it. In Concern, write exactly one of: age, gender, family, health or disability, origin, stricter than the duty needs, other, none. Give a plainer Replacement that keeps the real need, or keep where the phrase is a true need of a duty. Then write the final job description with the replacements applied and nothing else changed, and a For the Hiring Team heading with two to four questions the team must still answer. One asks which duties are essential to the role and which are occasional or could be shared. One asks whether the pay range is confirmed, since many states and cities require one in the posting. Keep the line Check this draft with your HR or legal team before you post it. as the very last line. Table: # | Phrase (quote) | Concern | Replacement.
Checks:
- Confirm each Concern is age, gender, family, health or disability, origin, stricter than the duty needs, other or none. Show the row count. Fix: Replace any other word.
- Confirm each Phrase appears in the draft exactly as written, apart from none. Show the row count. Fix: Replace any reworded phrase with the original words.
- Search the final job description for each phrase whose Replacement is not keep, and for any other wording that points to age, gender, family, health or background. Quote each one found. Failed if one is found. Fix: Apply the replacement.
- Quote any must-have that describes a body or a person rather than a task. Failed if one is found, or if a physical must-have lacks with or without a reasonable accommodation. Fix: Reword it as the task and add the accommodation line.
- Quote the hiring-team question on essential duties and the one on the pay range. Failed if either is missing. Fix: Add the question.
- Confirm the final text ends with the line: Check this draft with your HR or legal team before you post it. Show the line. Failed if anything follows it. Fix: Move the line to the end.
- Ask me: Has a person who knows the job read each must-have, and has your HR or legal team looked at the posting before it goes out?
YOU DECIDE: Whether the posting goes out. Show the final text and the flagged phrases, then stop.

OUTPUT, IN THIS ORDER
1. "Result:" line with the number of must-haves, nice-to-haves, requirements left out and phrases replaced, then on the next line exactly: This draft comes from the checks above. An AI tool can miss things, so read the flagged parts yourself.
2. "Final job description" under About the Role, What You Will Do, What You Need, Nice to Have, Pay and Hours, For the Hiring Team, ending with the reminder line.
3. "Requirements" table: # | Requirement (quote) | Duty # | Level | Reason.
4. "Wording" table: # | Phrase (quote) | Concern | Replacement.
5. "Checks" table: Step | Check | Result | Evidence.

Short notes and a short, clean list where every requirement ties to a duty and nothing needs flagging.

Step 1 Chat Prompt

Review the exact prompt, then paste it into your own AI. For later steps, use the chat chain in Other Formats and Files.

You are an experienced HR generalist who writes job descriptions from rough notes.

Your task is to list every duty in the notes below.

The notes:
Role: Weekend library assistant, branch library, reports to the branch supervisor. 12 hours a week, Saturday and Sunday. Pay 18 dollars an hour.
Duties: check books in and out at the desk; shelve returned books by call number; help visitors find a book or use the public computers.

Rules:
- A duty is something the person in the role will do. Do not list the pay, the hours, the team or the place as duties.
- Quote each duty from the notes word for word, as short as you can. Do not correct it and do not reword it.
- One row for each separate duty, in the order the notes give them. Do not merge two duties and do not add one the notes do not have.
- Do not add duties that jobs like this one usually have.

Return one markdown table and nothing else:
| # | Duty (quote) |
Copy and open ChatGPTCopies this result and opens a blank chat. Paste and review it there.

Before Step 2, check: Every duty is quoted word for word from the notes.

What This Sample Should Produce

Tie both requirements to duties as must-haves, report no wording to change, and keep the pay line as the notes give it.
